Privacy Policy

Last updated: September 10, 2026

This policy explains how Cook's Power Equipment Distributing, Inc. ("Cook's Power," "we," or "us") handles information through our dealer website and Trace One business services, including the Trace One Sales mobile app.

These services support our dealers and authorized employees. Some features require an approved account. Features and information available to you depend on your role and dealership access.

Information we handle

  • Account and business contact details: names, work email addresses, phone numbers, dealership or company information, account identifiers, and assigned access roles. Employee sign-in uses Microsoft; dealer sign-in uses the dealer account service.
  • Business records and information you provide: customer and dealer records, orders, product inquiries, invoices and account history, sales notes, tasks, follow-ups, messages, and files submitted through available features. Some records come from our connected business systems rather than directly from you.
  • Activity and technical information: account activity, security and service logs, device or browser information, request details, and diagnostic information. Certain dealer interactions, such as page views, resource downloads, and announcement acknowledgments, can be associated with your account.
  • Business communications: information in emails, calls, and support requests. When recording or transcription features are enabled in our business phone services, this can include call metadata, voicemail, recordings, and transcripts. Follow the notices and choices provided for the particular call or service.

How we use information

We use information to authenticate users and manage permissions; provide dealer and sales tools; process and support business transactions; maintain customer relationships and business records; respond to inquiries; understand use of our services; diagnose errors; protect accounts and systems; and meet applicable business and legal obligations.

Who can receive information

Information is available to authorized Cook's Power personnel and, where appropriate, authorized users of the relevant dealership. Access depends on the service and account permissions.

We use service providers for hosting and storage, identity and sign-in, connected business systems, communications, and enabled analytics or error reporting. Those providers process information needed to deliver their services. We may also disclose information when required by law or when necessary to investigate misuse or protect people, accounts, or our business.

Links to other websites and services are subject to their own privacy policies. This policy does not replace your employer's policies or the notices of a third-party service you choose to use.

Cookies, local storage, and analytics

Our services use cookies and similar browser or device storage for sign-in, security, preferences, and continuity. Depending on the feature, your device may store selected equipment, recent-work information, or unfinished drafts. Use care on shared devices. Clearing browser or app data can remove local drafts and require you to sign in again, but does not delete records already saved to our systems.

When optional usage analytics is enabled, it uses limited service-navigation events and session identifiers. Our optional analytics configuration disables session replay and automatic form and click capture, and honors supported Global Privacy Control or Do Not Track signals. These signals do not turn off essential security logs, account-linked business activity, or error reporting needed to operate the service.

Retention and security

Retention depends on the kind of information and the purpose it serves, including account administration, transaction history, customer support, security, and applicable recordkeeping obligations. Removing an app or closing browser access does not automatically delete company or dealership business records.

We use access controls and technical safeguards to protect information. No website, application, or transmission method can be guaranteed completely secure. Keep your sign-in details private and contact us if you suspect unauthorized access.

Your questions and choices

Contact us to ask what information we hold about you, request correction or deletion, or raise a privacy concern. Available rights depend on your location and relationship with us. We may need to verify your identity and authority, and some business, security, or legally required records may need to be retained. Requests involving dealership or employee records may also require coordination with the relevant business administrator.

For privacy questions or requests, email office@cookspower.com with the subject "Privacy request." Please do not include passwords, full payment-card details, or other sensitive information in your initial email.

Business audience

Our dealer and employee services are intended for business users and are not directed to children under 13. Contact us if you believe a child has provided personal information through these services.

Changes to this policy

We may update this policy as our services or requirements change. The date above identifies the latest update. Any additional notice required for a change will be provided through the relevant service or another appropriate channel.
